Any reservation made through this website is accepted in accordance with the Rules and Conditions established in this document.

Travel cost
Our travel prices are based on rates and service prices that apply at the time you make your reservation. In the exceptional case of a significant price increase, Hualapai Travel has the right to modify its prices and will immediately notify the reason for such change.
There is the right to cancel the reservation, in case the price of the trip is modified by an amount greater than 10%. Such cancellation must be communicated in writing to Hualapai Travel within two days.
Travel prices cannot be modified, under any circumstances, within a period of 20 days before the start date of the trip.
Booking
By submitting your reservation request through this website, you offer Hualapai Travel to conclude a travel agreement in a binding manner.
Likewise, any other type of reservation – such as one made by telephone – as well as any reservation made in writing and sent to Hualapai Travel, is also binding.
Through this reservation you accept your responsibility and that of your travel companions whom you represent, accepting the travel conditions both on your own behalf and on behalf of the other participants in a binding manner.
To make a reservation you must be at least 18 years old. If you are under 18 years of age, authorization from parents or guardians is required.
Customer preferences are treated as such but cannot be guaranteed; especially when it comes to requests for double rooms with double beds (we consider that single beds, placed side by side or separately, are the minimum service required for 2 people sleeping in the same room). The same applies to dietary preferences that go beyond medical conditions (e.g., diabetes, gluten intolerance, etc.) or common eating habits (e.g., vegetarian or vegan).
Agreement
Once Hualapai Travel accepts the contract by sending the reservation confirmation or invoice, the agreement will be considered concluded.
Terms of payment
Upon receipt of the reservation confirmation or invoice, a prepayment of 20% of the total cost of the trip will be made. The total cost of the trip will be paid at least 45 days before departure.
In the event that the total cost of the trip has not been paid before the established date, the organizers reserve the right to cancel the relevant contract and apply the established cancellation fee. For reservations made less than 45 days before the trip departure, full payment for the trip is required at the time the reservation is confirmed.
We accept bank transfers and credit cards (Mastercard and VISA) in our office.
Cancellation by the client
If you must cancel your trip for any reason, the following cancellation fees will apply:
for cancellations that occur between 60 and 30 days before the departure date: 20% of the total cost of the trip;
for cancellations that occur between 29 and 15 days before the departure date: 40% of the total cost of the trip;
for cancellations that occur between 14 and 9 days before the departure date: 60% of the total cost of the trip;
for cancellations that occur between 8 and 2 days before the departure date: 80% of the total cost of the trip;
for cancellations that occur within 2 days before the proposed departure date: 100% of the total cost of the trip;
To cancel your trip, you must notify our office in writing. We recommend taking out trip cancellation insurance.
Cancellation by Hualapai Travel
Hualapai Travel reserves the right to cancel a (group) trip if the minimum number of participants specified on the website is not met. Participants will be notified of cancellation in writing 30 days prior to the trip departure date.
Substitutions
If the client is unable to make the planned trip, they will have the right to send another person in their place, provided that Hualapai Travel is notified at least 4 days before the departure date. Hualapai Travel may reject the substitution if the substitute does not meet the requirements established for the participants. In this case, the cancellation conditions will apply.
The original contract will not be affected by the replacement, but any additional expenses generated will be the responsibility of the client. Hualapai Travel cannot be held responsible for the possible non-acceptance of the substitute by other organizers or agents related to the trip.
Modifications by the client
If you decide to change the departure date of a booked trip, or the trip itself, this will usually incur an additional cost, as will cancellations. For this reason, modifications will be treated as cancellations. In cases where the modifications do not change the departure date or the trip itself, we will apply an administrative fee of 35 euros. In the 21 days before departure, no changes will be accepted and cancellation fees will apply.
Modifications by Hualapai Travel
A trip may be canceled without a cancellation fee if the booked trip is materially modified without this being due to abnormal circumstances. This is the case when:
the cost of travel increases by more than 10%;
The departure date is modified by more than 2 days.
Hualapai Travel must have written notification of this within a maximum period of 2 business days. This period will be counted from the moment the organizers notify the client in writing of the type and scope of the trip modifications. Failure to respond to the notification will be taken as confirmation and acceptance of the trip modifications by the client.
Provision of alternatives
When, at the departure of the trip or subsequently, an important element of the trip is not available (example: transportation to continue the trip), Hualapai Travel will try to provide alternatives whenever possible and at no additional cost, so that the trip can continue. In the event that there is no alternative, or if it is rejected by the client for an understandable reason, Hualapai Travel will organize, if necessary and at no additional cost, either the return trip or transportation to another destination, provided that There are places available on the contemplated transport.
When none of the above possibilities exist, Hualapai Travel will compensate the customer for the reduced offer by means of a voucher valid for the appropriate offer of a replacement of a value equal to the non-fulfilled part of the trip.
Liability and limitation of liability
The liability of Hualapai Travel, in its capacity as a tour operator, in cases of material damage or injury, is regulated according to the international agreements described. Such responsibility can never exceed the limits established in international agreements and regulations.

Policy: TAEDS000269, adapted to what is established by the Community of Madrid to carry out the activity as a travel agency.
Hualapai Travel cannot be held responsible, under any circumstances, for damage caused by the unauthorized action of the client, nor for damage caused by third parties, by natural disasters or events in which Hualapai Travel has no influence (including strikes, modifications of schedules, etc…)
Hualapai Travel, within the framework of a company's duty to exercise due caution, can only be held responsible for the conscientious preparation of the trip, the careful selection and supervision of service providers, the accuracy of the description of the services, and the correct provision of services according to contract. Hualapai Travel is not responsible for non-compliance by service providers.
Limitation of Liability
Hualapai Travel, its employees, shareholders, representatives, directors, agents and designees do not own or operate any entity that provides or will provide the products or services for the trip. Hire transportation (by plane, bus, train, boat or other way), accommodation, restaurants, transfers and other services from various independent providers (including, occasionally, other affiliated companies of the Pangea Educación y Deporte en la Naturaleza SL group and Hualapai Travel SL). All of these individuals and entities are independent contractors. Accordingly, Hualapai Travel is not responsible for any negligent or willful act of said person or entity or those of third parties.
Additionally, and without limitation, Hualapai Travel is not responsible for any injury, loss, death, inconvenience, delay or damage to personal property in connection with the provision of products or services resulting from acts of God, illness, acts of war , civil unrest, insurrection or revolution, animals, strikes and other labor activities, criminal or terrorist activities of any kind, overbooking or reduction of services, intoxication, mechanical or other failure of aircraft or other mode of transportation, or due to unpunctuality arrival or departure of any means of transportation.
There are certain risks inherent in this type of travel. These include, but are not limited to, the risks of cycling, hiking, swimming, walking, and in all travel the dangers of animals, the inaccessibility of medical care, and the difficulty of evacuation in the event of a medical emergency. . Passengers assume such risks with respect to these possibilities. When starting their trip, the traveler voluntarily assumes all risks derived from the act of traveling, whether foreseeable or not.

Insurance, Passport and Visa
Ensure you are adequately covered by insurance (including medical, accident and repatriation) with comprehensive travel insurance. Guarantee Funds

Complaints and arbitration
In cases where the client considers that the contracted services differ from those provided, it is the client's duty to immediately communicate this discrepancy to the local service provider (hotel, group guide, etc.), who will resolve the matter or, when If this is impossible, the client will be provided with a document that explains the circumstances and details of what happened. This letter, along with the client's written complaint, must be sent to Hualapai Travel.
Any complaints must be reported to both the local supplier and Hualapai Travel. The written complaint must be received by Hualapai Travel within a period of 10 days, the established time for any compensation to be considered.
Any dispute resulting from this contract is subject to the legal authority of the Community of Madrid (Spain). When the interested parties agree, disputes can be resolved in an arbitration council. This council will be made up of as many arbitrators as there are claimants, plus an additional arbitrator, elected by the arbitrators, who will serve as president.
This arbitration board will have its headquarters at the location of the trip organizer's headquarters, and will decide by arbitration.
Applicable rights
The travel agreement is regulated by the travel conditions detailed above and by Law 1/1999, of March 12, on the Regulation of Tourism of the Community of Madrid, which regulates in its 2nd section the activity of tourist intermediation.
It is also regulated by the European Travel Directive 314/90/EEC, implemented by Decree 111 of March 17, 1995 and by the International Treaty on Travel Contracts, signed in Brussels on April 23, 1970, reinforced by the Law number 1084 of December 29, 1977.
